Volunteer Manager | ReachOut Missions Conference 2024
Unleash the power of collaboration! As the Volunteer Manager, your mission is to orchestrate a dynamic team of volunteers, ensuring the seamless execution of ReachOut Missions Conference 2024.
ReachOut Missions Conference is an annual event designed to inspire and equip Christians for global mission engagement. The conference aims to foster a deep understanding of God's global purpose, ignite a passion for missions, and provide practical tools for effective involvement in global outreach. Participants can learn from God's Word, connect with experienced missionaries, and engage in workshops that explore various aspects of cross-cultural work.
Responsibilities:
· Coordinate and recruit volunteers with the Administrator's assistance for various roles.
· Manage volunteers in the pre-event and on-event phases.
· Update and maintain the Volunteer Coordination Document.
Timeline of Responsibilities:
12-10 Months | September - November
· Collect feedback from past volunteers and express gratitude.
· Compile a list of volunteers interested in participating the following year.
· Review and document feedback received from ReachOut.
· Collaborate with the Administrator to reach out to potential volunteering groups.
9-7 Months | December - February
· Assess volunteer roles needed with the Administrator and other managers.
· Review and update the Volunteer Application Form.
· Ensure the form is available on the ReachOut Website and in promotional emails.
· Contact The Bridge SMBC and/or Year 13 Youthworks to explore volunteer availability.
6-4 Months | March - May
· Update and prepare the Volunteer Coordination Document.
3-1 Months | June - August
· Update the Volunteer Coordination Document with a list of approved volunteers and their roles.
· Assign volunteers to roles, considering their preferences.
· Consider creating a 'Team Leader' for each role.
· Communicate the final details to volunteers, including WHS instructions.
Event Week | 1-7th September
· Coordinate the final schedule with the Administrator and Catering Manager.
· Confirm volunteer equipment and final schedules with relevant managers.
· Consider arriving early for venue setup and preparation.
· Create a WhatsApp Group for Volunteers for efficient communication.
Event Day | 7th September
· Arrive at 6:30 am for a final briefing and prayer meeting with the Organising Team.
· Meet volunteers at 7:30 am for a comprehensive briefing, ensuring team leaders lead their group briefings.
· Assist Mission Partners and Workshop Coordinators with venue preparations.
· Monitor site cleanliness and ensure bins are managed during the event.
· Oversee the Free Tea & Coffee area, ensuring supplies are sufficient.
· Assist in the final pack-up and clean-up, ensuring the venue is left in good condition by around 8 pm.
