ReachOut Missions Conference - Program Coordinator
ReachOut Missions Conference is an annual event designed to inspire and equip Christians for global mission engagement. The conference aims to foster a deep understanding of God's global purpose, ignite a passion for missions, and provide practical tools for effective involvement in global outreach. Participants can learn from God's Word, connect with experienced missionaries, and engage in workshops that explore various aspects of cross-cultural work.
Role Title: Program Coordinator
Aim of the Role:
The Program Coordinator for ReachOut Missions Conference will work closely with the Program Team to create and coordinate the implementation of the ReachOut program. The primary goal is to ensure that the onstage program aligns with MI theological and missiological expectations.
Description of Tasks:
· Attend ReachOut organizing team meetings.
· Coordinate the creation and implementation of the stage program, working with MCs, Music Team, audio/visual team, recordings, and stage team.
· Present program details throughout the year, with the final stage program outlined two weeks before ReachOut.
· Support individuals on or behind the stage during ReachOut.
· Promote all aspects of the program from the front of the stage, including bookshop/books, ReachOut for Kids, mission organizations, workshops, and recordings.
· Coordinate offerings with the finance person and manage the Saturday Afternoon commitment call to mission.
· Update the role description and suggest individuals for the roles of the program team.
Timeline of Tasks:
2nd Week in Sept (Straight After ReachOut):
· Thank those who were part of the ReachOut Program Team.
· Confirm their interest in being involved in ReachOut next year.
Second Half of Sept:
· Review what worked/didn’t work at ReachOut.
· Review the role description for the Program Coordinator.
· Suggest replacement people for the roles of the program team.
Oct:
· Participate in the Organizing Team evaluation of ReachOut Program.
Nov:
· Work with the Team Leader to begin planning speakers and theme for ReachOut in two years.
· Discuss program ideas for the coming year in the Team Meeting.
Dec:
· Collaborate with the workshops coordinator regarding workshop planning.
February:
· Confirm involvement of MCs, Music Team, audio/visual team, stage team, Creche coordinator, and ReachOut 4 Kids Teams.
· Coordinate meetings with relevant program teams to discuss plans and create a draft program runsheet.
March:
· Confirm workshop topics with the workshop coordinator.
· Gather ideas for different program elements such as videos, fun activities, interviews, book reviews, and prayercasts.
· Start planning stage design and order necessary equipment.
April:
· Confirm the theme for the following ReachOut and communicate it to the promotions team.
· Share a draft of the onstage program with the committee.
May:
· Communicate and ensure Program team members are registered for ReachOut.
· Collect discussion questions, bible passages, and talk outlines from speakers for the booklet.
June:
· Email program details and the following ReachOut theme to the booklet coordinator.
· Ask the website designer to publish the program on the website.
· Confirm with workshops coordinator that workshops are finalized.
July:
· Work on the stage script with MCs.
· Decide on the project to fund and select the scholarship winner.
Aug:
· Finalize MC script.
· Obtain slides, videos, and audios for the AV team.
· Create slides for the main program and work on stage design.
· Communicate the final program with the AV team at least 2 weeks before ReachOut.
1st Week Sept:
· Ensure gifts and cards for speakers are organized.
· Print copies of the program for the committee, band, and CrossTalk.
· Greet CrossTalk and discuss any needs.
· Talk to Mission Representatives about the program with the Team Leader.
· Check if speakers need a timekeeper during their talk.
During ReachOut:
· Pray for the day at 6:30 am.
· Support those on stage.
· Organize refreshments for people on stage and CrossTalk.
· Coordinate offerings and the Saturday Night call to commit to mission.
After ReachOut:
· Email commitment cards on the Monday or Tuesday after ReachOut.
· Communicate with CrossTalk about recording availability and share details with social media and website coordinators.
Some Thoughts:
· Coordinate interactive activities and reflection time during the program.
· Manage announcements with clarity and accuracy.
· Facilitate videos, interactive activities, reflection time, and prayers with specific goals in mind.
