Communications Coordinator | ReachOut Missions Conference 2024
Promote the heart of ReachOut—crafting a strategic promotions plan, leading a dynamic team, and ensuring a seamless advertising journey for attendees from day one to the grand event day!
ReachOut Missions Conference is an annual event designed to inspire and equip Christians for global mission engagement. The conference aims to foster a deep understanding of God's global purpose, ignite a passion for missions, and provide practical tools for effective involvement in global outreach. Participants can learn from God's Word, connect with experienced missionaries, and engage in workshops that explore various aspects of cross-cultural work.
Responsibilities:
· Develop a comprehensive promotions plan for ReachOut over the 12 months leading up to the conference.
· Conduct regular meetings with the Communications Team, comprising Email Promotions, Social Media Manager, Church Communications Manager, and Website Developer, to ensure effective execution of the promotions plan.
· Oversee and support the Social Media Manager in creating engaging content for Facebook and Instagram.
· Provide guidance to the Email Promotions Manager in crafting and sending impactful emails to both registered and unregistered attendees.
· Coordinate with the Church Communications Manager to maintain updated contact lists and actively engage with churches for event promotion.
· Ensure the ReachOut website information is current and liaise with the Website Developer for necessary updates.
· Serve as the primary point of contact for members of the Communications Team.
· Create and print the ReachOut Conference Booklet.
· Utilize Planning Centre and Brevo databases to ensure mailing lists are up-to-date.
Timeline of Responsibilities:
12-10 Months | September - November
· Upload ReachOut Talk Recordings on the website and share links with the Social Media Manager and Email Promotions.
· Ensure the Feedback Survey is emailed to attendees by the Email Promotions Manager.
· Express gratitude to the Communications Team and seek their willingness to continue assistance.
· Review and refine strategies based on the previous year's successes and challenges.
· Gather Bio and photos of the next year's speaker and update the website.
· Collaborate with the Website Developer to update the ReachOut website with upcoming details.
· Create a Digital Promotions Pack and distribute it to past-registrants and churches.
· Facilitate engagement on social media platforms.
· Print and distribute promotional postcards at NTE and NextGen events.
· Initiate communication with churches and organizations through the Digital Promotions Pack.
9-7 Months | December - February
· Consider advertising in magazines and radio stations.
· Collaborate with a videographer to create a promotional video for ReachOut.
· Begin preparations for Registration launch by April 1st.
· Assist the Social Media Manager in planning and creating content for the next 9 months.
· Collaborate with the Email Promotions Manager to develop an Email Journey.
· Explore opportunities for ticket sponsorships and giveaways.
· Update mailing lists monthly.
6-4 Months | March - May
· Ensure readiness for Registration launch with the Website Developer and Administrator.
· Facilitate ticket giveaways and early bird promotions.
· Communicate effectively about registration deadlines and ticket prices.
· Initiate paid advertisements on social media platforms.
· Promote workshop themes and speakers.
· Coordinate a social media challenge related to Mission Partner stalls.
· Plan and execute a photo wall for the event.
3-1 Months | June - August
· Maintain paid advertisements and monitor the budget.
· Emphasize workshop themes and speakers through promotions.
· Confirm Registration closing date and post-end date registration details.
· Assist the Social Media Manager in planning a social media challenge.
· Create a photo wall for the event.
Two Weeks Before Event | August
· Initiate a 10-day countdown to ReachOut and Registration closing.
· Coordinate with the Administrator for talk recordings to be uploaded post-conference.
· Communicate post-end date registration information through social media.
Event Week | 1-7th September
· Assist the Social Media Manager in finalizing paid advertisements.
· Set up the Photo Wall with the Social Media Manager on the Friday evening.
Event Day | 7th September
· Ensure the Social Media Manager captures moments, interviews, and regular posts during the event.
· Receive talk recordings from the AV Team and upload them to the ReachOut website.
